Description:

The Executive Assistant / IT Administrator provides professional operational and analytical support to IT Leadership by providing the coordination, analysis, and continuous improvement of executive workflows, leadership processes, and cross-organizational initiatives. This role is responsible for managing executive operating rhythms, synthesizing information for decision support, and driving follow-through on leadership priorities across departments.

Executive Operations
  • Manages executive leadership operating rhythms including meeting cadence, agenda planning, and follow-through processes
  • Implement improvements to executive and leadership support processes
Cross-Functional Coordination
  • Coordinate inputs and follow-up activities across departments related to executive and leadership initiatives
  • Ensure alignment and timely information flow between executives and operational teams
  • Maintain confidentiality when handling sensitive information and communications
Project & Initiative Support
  • Support execution of small to mid-sized cross-functional initiatives by tracking timelines, deliverables, and stakeholder responsibilities
Communication & Documentation
  • Draft and edit executive communications, summaries, and documentation with accuracy and professionalism
Operational Process Support
  • Evaluate existing executive support and coordination processes and recommend improvements
  • Provide informal guidance to other administrative staff on executive support best practices as needed

JOB REQUIREMENTS
Education:
  • Bachelors Degree in related field is required or a combination of additional experience and training will be considered

Experience:
  • 10+ years of experience as an executive assistant or in progressively more responsible rolls supporting IT.
  • 1-2 years project management experience

Knowledge and Skills:
  • Excellent communication skills and diplomacy to interact and communicate effectively with external contacts and hospital staff.
  • Must be exceptionally organized to multitask, prioritize and meet deadlines and schedules; must be able to keep others organized and on track.
  • Excellent written and verbal communication skills.
  • Good critical thinking skills and demonstrated comfort and ability to work independently once given direction.
  • High proficiency using Microsoft Office applications (Word, Excel, Access, and PowerPoint).
  • Exposure to technology leadership is a plus.
