Transforming Medication Therapy Management with Innovative Business Intelligence Solutions

A prominent healthcare and pharmacy service provider embarked on an ambitious project to implement Epic for their Medication Therapy Management (MTM) program. This initiative aimed to streamline and enhance the efficiency of the pharmacy department by incorporating it into a comprehensive, integrated system. The project was critical as it marked the transition towards a more cohesive, data-driven approach in managing medication therapy, thereby impacting patient care and operational efficiency significantly.

CHALLENGE

The introduction of Epic’s module presented a multifaceted challenge, primarily due to the substantial differences between the legacy systems and the new Epic framework. The existing reports and metrics were based on outdated systems, leading to unmet expectations and a lack of understanding regarding the new workflows within Epic. This gap resulted in initial setbacks, including misaligned reporting solutions and operational inefficiencies. Addressing these challenges was crucial to ensuring the seamless functioning of the MTM program and to leveraging the full potential of the Epic system.

APPROACH

In response to these challenges, a Talent Groups' Epic Report writing SME played a pivotal role in navigating through the complexities of the new system. With 20 years of healthcare IT experience and Epic certified in Caboodle, Clarity, Cogito, SlicerDicer, Radar and Reporting Workbench, and highly skilled in Tableau dashboard development, the consultant developed a comprehensive suite of operational and analytical business intelligence solutions. Talent Groups worked closely with clinicians and business stakeholders to gather requirements, estimate resource needs, and coordinate the efforts of the Caboodle and Tableau developers. as well as collaborate with the ETL team to design the data mart, and the Healthy Planet and Clarity Administrators to incorporate new metrics.


The Talent Groups’ SME served as a lead report developer and created more than 40 Reporting Workbench and Cogito SQL reports for operations and regulatory reporting. They built dashboards for pharmacists and managers to monitor individual performance and departmental KDPs, based on 20+ metrics. Additionally, they performance-tuned Clarity SQL to reduce run time and wrote SQL queries to extract data from Clarity for the data warehouse.


The approach involved:

  • Collaborating closely with department managers to gather requirements and document user stories.
  • Developing over 60 reports and metrics to aid the operations team, alongside 20 extracts feeding into an Enterprise Data Warehouse (EDW) for analytics purposes.
  • Conducting extensive gap analyses to bridge the differences between the old and new systems, ensuring that the reporting solutions were perfectly aligned with the Epic build.
  • Leading the coordination of the team's efforts, validating reports and metrics, and facilitating their rollout to production.

IMPACT

The consultant's efforts culminated in a transformative impact on the MTM program:

  • Successful integration of the new Epic module, with all data needs for the operations managers effectively met.
  • Enhanced monitoring of compliance and performance at both individual employee and management levels through the newly developed reports and metrics.
  • Significantly reduced the gap between the legacy systems and Epic, ensuring a smooth transition and alignment with the new workflows.
  • Received accolades for exceptional work from the analytics team, the customer department, and directors, highlighting the consultant's ability to work independently and in close coordination with various teams.
